This site (admin.windsormass.com) is operated by the Town of Windsor, Massachusetts to maintain town records and offer a few services online -- currently dog license registration, transfer station permit registration, and a cemetery records search, with more planned. This page explains what information we collect, how it's used, and how it's protected.
Information you provide directly
If you use the dog license registration form or the replacement-tag request form, we collect what you enter: your name, address, phone number, email, and information about your dog(s) (name, breed, sex, spay/neuter status, date of birth). This is the same information the Town Clerk's office has always collected on paper dog license applications, now collected online. It's used solely to administer dog licensing -- issuing licenses and tags, tracking payment, and sending renewal reminders -- and is kept as part of the town's official records.
If you use the transfer station permit registration form, we collect your name, address, phone number, and email. This is the same information the Town Clerk's office has always collected on paper transfer station permit applications, now collected online. It's used solely to administer transfer station permits -- issuing permits and stickers and tracking payment -- and is kept as part of the town's official records.
The cemetery records search doesn't collect any personal information from visitors -- it's a read-only lookup of already-public burial records.
Signing in with Google
Town staff and volunteers who administer these records sign in with a Google account. Signing in shares only your name and email address with us, used to verify who you are and to check what you're authorized to access (a staff list we maintain separately) -- we don't receive or request access to your Google account otherwise, and the public pages (registration, cemetery search) don't require signing in at all.
Google Drive access
A monthly archive feature stores backup copies of town records (spreadsheets, CSVs, PDF reports) in a Google Drive folder belonging to the Town Clerk's own Google account. This uses Google's narrowest Drive permission (the drive.file scope), which only allows this application to see and manage files it itself created in that one folder -- it cannot see, read, or modify any other file in that Google account's Drive, and no other Google account's Drive is ever touched.
Gmail access
The Town Clerk's newsletter is sent from the Town Clerk's own Gmail account. This application uses the gmail.compose permission on that one account only, to list the clerk's drafts and send the draft the clerk chooses to the newsletter mailing list. It does not read, store, or process the inbox or any other email, and no other Google account's Gmail is ever touched. Newsletter subscribers' email addresses are kept in our records database and used only to send the newsletter.
How your information is stored
Records are stored in Airtable (our database provider) and this application runs on Vercel (our hosting provider). Both are standard, reputable service providers used only to operate this site -- we don't sell, rent, or share your information with any other third party, and don't use it for advertising or marketing of any kind.
Cookies
This site uses one cookie to keep you signed in after you log in with Google. We don't use advertising or analytics cookies, and don't track visitors across other websites.
Record retention
Dog license and cemetery records are official town records, retained according to Massachusetts municipal records retention requirements -- they aren't deleted simply because time has passed, the same as their paper predecessors.
